Who we are
RetainProof™ ("RetainProof", "we", "us") is a product of CMD Marketing Enterprises LLC, provided through CMD+DesignLab. All contracts, subscriptions, and payments are administered by CMD Marketing Enterprises LLC. RetainProof provides an independent marketing-accountability platform for law firms. This policy explains what data we collect, how we use it, and the choices you have.
Information we collect
Account data (name, email, firm name, role), the marketing data you enter or import (vendors, contracts, invoices, leads, budgets, compliance records), payment metadata processed by our payment provider, and technical logs (IP address, timestamps, activity) used for security and audit purposes.
How we use your data
To provide and secure the service, generate your reports and analytics, process billing, respond to support requests, and meet legal obligations. We do not sell your data. We do not use your firm's confidential data to train third-party AI models beyond generating your own results.
Subprocessors
We rely on vetted providers to run the service, which may include: cloud hosting, MongoDB (database), Stripe (payments), Resend (email), and AI providers (OpenAI, Google) used to process invoices and generate reports. Each processes data only to deliver the service.
Data security
We use encryption in transit (TLS), role-based access controls, hashed passwords, optional two-factor authentication, per-firm data isolation, and activity audit logs. No system is perfectly secure, but we apply reasonable administrative and technical safeguards.
Data retention & deletion
We retain your firm's data for as long as your account is active. You may export a complete copy at any time (Audit & Data in your dashboard) and permanently delete your firm's data yourself. On deletion, firm records are removed from active systems; residual copies in backups are purged on our standard backup rotation.
Your rights
You can access, export, correct, or delete your data from within the app, or by contacting us. Where applicable law grants additional rights (access, portability, erasure), we will honor them.
